About You:

You have superb organization skills and have worked in a similar role. You are naturally intuitive and able to anticipate issues before they become problems. You can cheerfully and expertly resolve every need, no matter how complex or mundane – from picking up dry cleaning and running errands to managing budgets and travel. You know how to manage work, household and personals tasks with discretion.


  • Monitor, organize and prioritize the CEO’s email inbox and voicemails. Understand his priorities on an ongoing basis.

  • Own calendar management for the CEO, both for professional and personal life, managing schedule conflicts and any necessary rescheduling.

  • Liaise with internal and external parties to coordinate schedules.

  • Take on myriad tasks and errands, as well as more complex projects and research, helping the CEO stay organized and productive. Help him jump start new initiatives.

  • Keep track of various projects and deliverables, connecting with stakeholders on progress updates.

  • Manage special projects for the CEO and occasionally other executive team members.

  • Organize logistics for executive staff meetings and offsites, including meals and travel.

  • Gather data and prepare reports. Should be comfortable researching, compiling data and budgets in Excel, preparing basic PowerPoint presentations.

  • Prepare notes for CEO for various business meetings.

  • Excellent communication skills, both verbal and written including strong editing skills. Able to draft communications for CEO, adapting to his style.

  • Support logistical needs for CEO’s personal life, including running errands, organizing family outings and travel logistics, taking the car in when needed, purchasing a new phone, etc.

  • Track and pay personal bills; monitor budget for personal and family life.

  • Take initiative and ownership from start to finish on all tasks and projects. Be the person who knows whose court the ball is in and be diligent on following through.

  • Inspire confidence by anticipating needs and dealing with them efficiently and with a positive attitude.

  • While hard to estimate, we expect this role breaks down into 70/30 for professional vs personal assistance (the bulk of time on professional needs).


  • Minimum 5 years of relevant experience; likely prior experience as an executive assistant

  • Successful track record managing complex professional and personal schedules

  • Able to effectively develop relationships at all levels

  • Reliable and independent; able to work with little supervision

  • Extremely comfortable integrating technology into your work, including apps and managing accounts online

  • You are adaptable, resourceful and calm when dealing with unpredictable and stressful situations and demonstrate flexibility in continuously changing environments.

  • Highly emotionally intelligent, well presented and spoken, discreet and loyal and with the utmost respect for confidentiality.
